What to Expect at Your Signing Appointment

What happens when the notary arrives or connects remotely — the step-by-step signing process, how documents are sealed and returned, and typical turnaround times.

When the Notary Arrives (Mobile Appointments)

Lisa will arrive at the agreed location at or before the scheduled appointment time. She will introduce herself and present her Florida notary commission credentials if requested. This is standard professional practice and you should feel comfortable verifying her credentials before proceeding.

She will ask everyone who needs to sign to have their government-issued photo ID ready. If additional witnesses are required for the documents (such as for wills or certain powers of attorney), those individuals should be present at this time with their own valid ID.

Before proceeding to signing, Lisa will confirm that she has the complete document package, that all pages are present, and that no pages have been pre-signed. Documents that have been partially signed in advance may require review before the notarization can proceed. Do not sign anything until Lisa instructs you to do so — this protects the legal validity of the notarization.

When You Connect (Remote Online Notarization)

For RON sessions, you will receive a secure video session link by email after booking confirmation. At the scheduled time, click the link to join. Ensure your device camera, microphone, and speaker are functioning before the session begins.

Lisa will appear on screen and confirm your identity has been successfully verified through the platform's KBA and credential analysis process (see Step 2). If identity verification has not yet been completed, you will complete it before the video session begins.

You will be prompted to display each document page to the camera as needed. For e-signed RON sessions, the platform will guide you through the digital signing interface. For wet-ink RON sessions (where you print, sign, and return documents), Lisa will instruct you clearly on which pages require signatures and initials.

For loan signings: Have a clean, flat surface with good lighting. Loan packages range from 80 to 200+ pages. A standard residential refinance takes approximately 45–60 minutes. A purchase transaction with multiple addenda may run 60–90 minutes. Clear your schedule accordingly.

The Signing Process — Step by Step

Identity Confirmed

Lisa verifies each signer's government-issued ID and records the required information in the notary journal. All signers must be present or connected before signing begins.

Document Review

Lisa confirms the document is complete (no blank spaces where information is expected), that the correct parties are identified, and that the notarial certificate is properly worded. She will not advise on document content — that is the role of your attorney or lender.

Verbal Acknowledgment

Lisa will ask you to verbally acknowledge that you are signing willingly and that you understand you are executing the document. This is a required element of the notarial act under Florida law.

Signature and Initials

Lisa will direct you through each signature and initial line in the correct order. For loan signings, she will indicate each page and location. Sign only where instructed — additional marks outside designated signature lines can create issues at the title company.

Notarial Seal and Certificate

After signatures are complete, Lisa applies the official Florida notary seal and signs the notarial certificate. For mobile appointments, this is a physical embossed or inked seal. For RON, it is a tamper-evident electronic seal. The certificate identifies Lisa by name, commission number, and commission expiration date.

Journal Entry

Lisa completes the notary journal entry documenting the date, type of document, signer names, and ID information. The journal is a permanent record of the notarial act and is retained by the notary.

How Documents Are Returned

Document return depends on the service type and the instructions from your lender, attorney, or the party who commissioned the signing.

Turnaround times are estimates based on standard document packages. Complex transactions, additional signers, or last-minute document revisions from lenders may extend session time. If you have a firm funding or recording deadline, communicate it at the time of booking so the appointment can be scheduled with appropriate lead time.

Lisa is present to facilitate the notarial act — not to provide legal or financial advice. If you have questions about the content of the documents you are signing, contact your attorney, lender, or the party who prepared the documents before the appointment begins. Once a signing appointment is underway, pausing to wait for answers from third parties can affect your funding timeline.

Funding and recording deadlines: If your transaction has a same-day funding requirement, ensure the signed package ships with enough lead time for overnight carrier delivery. Confirm the cutoff time with your title company or lender before scheduling the signing appointment.
